We expect the information we hold to be accurate and up to date. You have the right as an individual to find out what information we hold about you and make changes if necessary; you also have the right, unless we are obligated by law to refuse, to ask us to stop using the information.

The information that we collect about you will only be used lawfully (in accordance with the Data Protection Act 1998 and the General Data Protection Regulation 2018). All data is retained exclusively within the United Kingdom, or transferred only to ‘third countries’ where ‘adequacy of protection’ or specific certification as defined by the GDPR has been confirmed.

This testing system is provided by The Guild of British Coach Operators (“the Guild”) on behalf of your employer (or prospective employer).

What personal data we collect and why we collect it

We only collect your name, driving licence number and your answers to the test(s) you have completed.  The results of each test (including your name and driving licence number) will be available to and retained by the company that has asked you to sit the test (your employer or prospective employer) and by the Guild of British Coach Operators Ltd and their systems developer (for the purposes of the administration of the testing system).  Your data will not be shared with or provided to any other party without your consent.

For persons administering this testing system within each company (ie who have been set up as an adjudicator), we collect your name, job title, employer and phone number, for the purposes of administering the system.


If you have an account as an adjudicator and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.


This website sets ‘first party’ cookies through its use of Google Analytics. We use Google Analytics to provide us with non-personal site analytics, which in turn help us improve this website. Google Analytics tracking uses cookies in order to provide meaningful reports about web site visitors’ but they do not collect personal data about you. Google Analytics sets or updates cookies only to collect data required for the reports. Additionally, Google Analytics only uses first-party cookies. Who we share your data with

Whether as a candidate sitting a test or as an adjudicator administering tests, your data will only be shared with the company that has asked you to sit the test (your employer or prospective employer) and the Guild and our systems developer (for the purposes of the administration of the testing system).  Your data will not be shared with or provided to any other party without your consent.

How long we retain your data

Details of tests undertaken will be retained for up to six years but you can ask us to delete your data at any time.  For users that register on our website (adjudicators), we store the personal information you provide in your user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have undertaken a test or tests, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Protection of Personal Information

The Guild takes precautions, including administrative, technical, and physical measures, to safeguard your Data against loss, theft, and misuse, as well as against unauthorized access, disclosure, alteration, and destruction.

The Guild uses industry-standard efforts to safeguard the confidentiality of Data. We have implemented reasonable administrative, technical, and physical security controls to protect against the loss, misuse, or alteration of your Data.

What automated decision making and/or profiling we do with user data

We do not perform any automated decision making or data profiling on the results of individual tests.  We collect statistics on overall pass rates for each question but these do not identify individual candidates or their results.  We make test results available to your employer (or prospective employer) and they may use that data within their own systems and processes.  Please ask them for further details.
